The Challenge

Quake’s HubSpot implementation began as a straightforward CRM setup but quickly evolved into a more complex, strategic project. As the system matured, new requirements emerged — particularly around expanding the platform to support both school and corporate bookings. With the initial project hours fully consumed, the challenge was to maintain momentum, manage growing complexity, and guide the client through an expanded roadmap without losing focus or efficiency. The goal was to define a clear, realistic path forward that balanced immediate delivery with long-term scalability — ensuring HubSpot could grow in line with Quake’s evolving business model.

The Solution

We developed a structured, two-phase roadmap to deliver both immediate functionality and future expansion. Phase One – School Booking focused on completing the current workflow: defining user journeys, optimising pipeline stages, automating onboarding, and implementing detailed reporting dashboards. Phase Two – Corporate Booking expanded the CRM’s capability to handle group and corporate bookings, leveraging existing pipelines and automations from the first phase. This stage also introduced new elements such as pro-forma invoice generation, ensuring operational consistency across both audience types. Throughout, we maintained full transparency under our Fair Practice Policy, ensuring Quake received maximum value with clear, predictable delivery.
